  • Organization and coordination of all work in the reception and office area
  • Organization and support of customers at internal appointments / workshops
  • Appointment and travel organization/planning of trips at home and abroad,
  • Communication with external service providers
  • Organization of internal events
  • Vehicle fleet & claims management
  • Preparatory bookkeeping
  • Look & feel of the agency (furnishings, cleanliness, events)
  • On & offboarding of employees (welcome, organization of training courses)
  • Researching/supporting the teams with administrative activities


  • organize: Office management is your vocation, you work very carefully and always put your heart and soul into it
  • as a person of first impression, create a space to feel comfortable (whether in the office, on the phone, or or...)
  • keep things tidy: because cleanliness and clarity are important to you. You lend a hand and have an eye for detail
  • Communicate routinely: also with English-speaking employees/contacts and be memorable with your friendly manner!

You have

  • You have an apprenticeship, ideally in a commercial or service-oriented field (e.g. event manager, office management assistant, foreign language correspondent, hotel specialist, retail salesperson).
  • 2 - 3 years of professional experience in office management/front desk, e.g. in the hotel industry or in an agency environment
  • Professional experience in the care and hospitality of guests
  • experienced handling of Apple/Google workspace
  • a driver's license
